Who we are
Next Stage Choir Limited is responsible for the personal information described in this policy. Our company number is 08742367. You can contact us at russell.scott@nextstagechoir.com, through our contact page, or by post to 5 Elstree Gate, Elstree Way, Borehamwood, Hertfordshire WD6 1JD.
The information we collect
When you contact us, we receive your name, email address, enquiry topic and message, plus your mobile number if you provide it. We also receive your separate email and SMS marketing choices, the wording shown to you and the date and time those choices were prepared for sending. Please avoid including sensitive information in a general enquiry.
Taster bookings are handled through Typeform. The booking form explains the details needed to arrange your visit. If you become a member or book an event, we may also need contact, attendance, membership and payment records to provide that service.
Our hosting and security providers may process technical information such as your IP address, browser information, requested pages and access times to deliver and protect the website.
How and why we use your information
We use enquiry details to answer your questions and manage correspondence. Our lawful basis is our legitimate interest in responding to requests and running the choir; where you ask us to arrange a taster, membership or booking, we also use information to take steps at your request before entering a contract and to perform that contract. We may retain records to meet legal obligations.
We rely on your consent for the email and SMS marketing choices offered on our contact form. Choosing neither option does not prevent you from sending an enquiry, booking a taster or joining the choir. Essential replies and booking or membership administration are separate from marketing.
We rely on consent for the optional ProveSource cookies and associated visitor measurement. You can withdraw it using Cookie settings without affecting access to the site or booking forms.
Your email and SMS marketing choices
We ask separately whether you want marketing emails and whether you want marketing SMS messages from Next Stage Choir Limited about choir news, concerts and membership offers. Both boxes are optional and unticked by default. SMS consent applies to the mobile number you supply; email consent applies to the email address you supply. Simply visiting this website, reading this policy or making an enquiry does not give marketing consent.
The service records your separate unticked email/SMS choices, the exact wording displayed, the privacy policy version and the server receipt timestamp. You can enquire without opting into marketing. Confirmed email subscription choices are processed through Keap. SMS choices are recorded only. An unticked box is not a new opt-in.
You can withdraw consent or object to direct marketing at any time. Use the unsubscribe or opt-out instructions in a marketing message, or email russell.scott@nextstagechoir.com and tell us whether you want to stop emails, SMS messages or both. No account or login is needed. Withdrawal does not affect processing already carried out lawfully. We keep a minimal suppression record where needed to respect your request.
Contact forms and service providers
When you select Send Enquiry, your details are submitted directly to our website enquiry service. Cloudflare stores a receipt and the form details for up to 90 days. Make and Microsoft 365 process the notification sent to the website owner. Received correspondence may be retained separately as needed to answer your enquiry, manage a booking and meet applicable obligations. Aggregate daily enquiry counts are retained without your name, contact details or message. Processing may take place outside the UK through these providers. Your enquiry does not confirm a booking. Sending an enquiry alone does not subscribe you to marketing.
Typeform processes taster bookings. The website is hosted through Sites and Cloudflare. Authorised choir administrators and service providers helping us with hosting, email, bookings and membership may process information for those purposes. We may disclose information where required by law or where necessary to protect legal rights.
Payment information is handled by the relevant payment provider rather than collected through our contact form. Our established payment services include GoCardless, Stripe and PayPal; the provider used for your transaction explains how it handles payment data. External ticket sellers also provide their own privacy information.
Cookies, maps and external services
With your permission, we use ProveSource to display social proof notifications, such as reviews and recent activity, and measure visitor activity. It may use cookies and process technical information such as IP address, browser details and page visits. ProveSource is not loaded until you allow ProveSource cookies. Choose “Reject optional cookies” to continue without it, or use “Cookie settings” in the footer to change your choice. We store that preference in your browser. See ProveSource’s privacy policy for its processing details.
This choice is separate from email and SMS marketing consent. We do not send the contact form’s name, email, mobile number or message to ProveSource through this integration. Google Analytics 4 loads only after analytics-cookie consent. Cloudflare Web Analytics uses no analytics cookies. Use Cookie settings to change your choice. Google Fonts and embedded Google Maps are separate external services that can receive technical information when requested by your browser.
The taster booking form connects to Typeform when you choose to load it. External services may use cookies or similar technologies under their own policies. You can instead open the booking form directly or contact us for venue information. Links to Spotify, YouTube, social media and ticket services take you to services with their own privacy practices.
International processing and security
Some providers operate internationally and may process personal information outside the UK. Where a restricted transfer is involved, applicable UK data protection requirements include an adequacy decision or appropriate contractual safeguards. Contact russell.scott@nextstagechoir.com for information about the providers and safeguards relevant to your enquiry or booking.
We use access controls and secure connections to help protect information. No internet or email service can guarantee absolute security.
How long we keep information
We keep enquiries for the period needed to respond, follow up and resolve related questions or disputes. We assess this by the nature of the enquiry, whether it leads to membership or a booking, and any legal retention requirements. Membership and financial records are kept for the service and any applicable legal or accounting period.
Marketing contact information is kept while we have valid consent and a continuing reason to contact you. Consent evidence may be kept as needed to demonstrate compliance, and minimal opt-out records are retained to avoid contacting you against your wishes.
Your rights and complaints
Depending on the circumstances, you can request access to your information, correction, deletion, restriction or portability, and object to processing based on legitimate interests. You have an absolute right to object to direct marketing and can withdraw consent at any time. Email russell.scott@nextstagechoir.com to exercise a right. We may need to verify your identity before responding.
You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. You can contact us first, but you do not have to.
Adults and changes to this policy
Next Stage Choir membership and taster sessions are for adults aged 18 and over. If a child has supplied personal information, please contact us so we can address it.
We update this page when the website or our use of information changes. The date above identifies the current version. Where required, we will tell you about material changes before using information for a new purpose.
